Library-based New Faculty Orientation Electives now open to all Faculty and Staff

The New Faculty Orientation (NFO) this year includes a series of electives open to all faculty and staff interested in learning more about the services and resources available to them at ISU.

The electives usually last one hour and are on a variety of topics including academic advising, data management, information literacy, EndNote, fair use, research, and Turnitin.

New University Archivist Named

Katie Sutrina-Haney has accepted the position of University Archivist.  Katie’s first day will be June 16th.  Her office will be in room 310, her telephone number will be extension 8435, and her email will be Katie.Sutrina-Haney@indstate.edu.

Her credentials include:

Museum Studies Certificate, Northern Illinois University, 2012 – she has worked at the Regional History Center Archives where she was responsible for processing the DeKalb AgResearch Collection containing over 400 boxes of material of various formats and created a database for the images. She also worked closely with staff to implement the ARCHON online collection database and placed all collection inventories in ARCHON.

Position Open for University Archivist (Professional)

EAP Staff (Exempt, Professional level) position is now available to receive applications on the ISU hiring site: University Archivist (pay grade 10).

POSITION SUMMARY:

This 12-month, professional position administers and develops the various programs, and manages the daily operations of the University Archives; arranges and describes the permanent records in the Archives; works to identify, survey, appraise, store, access, preserve, and dispose of the records of Indiana State University; and provides assistance and advice to the ISU community regarding file management and records systems. The Archivist offers assistance in resolving problems related to the management of records; oversees the transfer of archival records from departmental offices to records storage areas and when necessary re-files, re-boxes, and labels incoming records; files departmental files and retrieves information from departmental files when requested develops and administers record retention policies; interacts with ISU administrators and departmental personnel, students, faculty  and other researchers to support their requests for records in the Archives and performs other services, such as providing reference assistance and other information management tasks.   The Archivist works with the Chair of Special Collections to plan for the deposit and preservation of electronic records and other born digital items (e.g. photographs, documents) deposited in the Archives.

The Archivist may plan, design, develop, and produce  displays and exhibits in conjunction with university offices, departments, and organizations, highlighting their events with historical photographs and documents and/or provide access to the archives for individuals to create their own exhibits or displays; develops finding aids; organizes and arranges collections to provide quick access for retrieving information; provides content for Library website development to enhance the visibility of the University Archives; participates in public programming and events promoting ISU as a representative of the ISU community; seeks out historically significant collections that help to document the history of the university; and guides and supervises staff and students in organizing and identifying information that will be researched, processed, or documented.

SUPERVISION RECEIVED:

The Archivist reports to the Chair of the Special Collections Department.

SUPERVISION EXERCISED:

The Archivist supervises one support staff and both undergraduate and graduate student employees assigned to projects.

MINIMAL ACCEPTABLE QUALIFICATIONS:

This position requires a Master’s degree with a concentration in archival administration plus one year of professional archival/records management experience; or, a Master’s degree without a concentration in archival administration plus two years of professional archival/records management experience.  The position requires familiarity with archival processes, records management, web design, and knowledge of issues pertaining to preservation, digitization and copyright. The Archivist must have demonstrated problem-solving ability; attention to details; effective organizational, interpersonal and communication skills, including the ability to interact with culturally diverse individuals, both external and internal to the library; and experience creating EAD encoded finding aids with the DACS descriptive standard.

ADDITIONAL DESIRABLE QUALIFICATIONS:

Demonstrated understanding of the issues related to digital preservation and electronic records management, experience with CONTENTdm, DSpace, or other data management systems. Experience with open source archives content management systems such as Archon, Archivist’s Toolkit, or ArchivesSpace.

TYPICAL DUTIES AND RESPONSIBILITIES:

Primary Responsibilities

  • Arranges and describes the permanent university records housed in the Archives
  • Works to identify, survey, appraise, store, access, preserve, and dispose of university records
  • Oversees the transfer of archival records from departmental offices
  • Retrieves information from departmental files when requested
  • Develops and administers record retention policies
  • Interacts with ISU administrators and departmental personnel, students, faculty and other researchers to support their requests for records in the Archives
  • Assists with the planning for the preservation and access to born digital items and electronic records

Secondary Responsibilities

  • Plans, designs, develops, and produces displays and exhibits in conjunction with university offices, departments, and organizations and/or provides access to the archives for individuals to create their own exhibits or displays
  • Directs website development to enhance the visibility of the University Archives
  • Participates in public programming and events

Special Collections Staff Member achieves CIP

Eric Holt, University Archives (Special Collections)  recently passed his exam to become a Certified Information Professional (CIP).  The certification, designed by the Association for Information and Image Management, tests a professional’s expertise across six domain areas of knowledge related to information management.

Special Collections Reading Room – Summer Hours

The Special Collections Department Reading Room will be available by appointment during the summer sessions. Normal opening hours (Monday through Friday 8:00AM – 12:00PM; 1:00PM-5:00PM) will resume in the fall.

If you are interested in viewing specific items from Special Collections, please call 812-237-2612 so that we may schedule an appointment. For University Archives, please call 812-237-8435. Appointment hours will be 8:00 a.m. and 4:30 p.m., Monday-Friday.

“Management of Incoming Born-Digital Special Collections;” Speaker  Gretchen Gueguen, University of Virginia.  Sponsored by the Association of Southeastern Research Libraries (ASERL).

This webinar will cover the basics of getting started with managing born-digital archives. Through basic techniques and practical suggestions, you will learn how to assess your collection, develop a management plan, put basic policies in place, and set up an accessioning workflow. University Archives offering help with record retention

University Archives would like to work with departments, faculty, and staff across campus to help with reviewing files that you may have in your cabinet and/or on disk or hard drive. Two questions that we are often asked in University Archives is “How long should I retain these records?” and “Should these records be stored in University Archives?” If you, too, ponder these questions, take a look at the following two web pages. The first web page talks about general retention while the second url leads to directions on how to transfer items to Archives.

University Archives moving to new location, closed September 19-21

The University Archives offices will be closed Sept. 19-21 to move to their new location in Cunningham Memorial Library. Archives will reopen on Thursday, Sept. 22 on the third floor of the library. Although most archival material will remain in Normal Hall for now, Archives staff will retrieve material upon request.
